Google classroom Grade-up? Must have to do in new year

There will be many changes, but the foremost is the introduction of a new platform for online classes.

but you will have a lot of thoughts about what to do at the end of the year.

Google Workspace for Education (GWFE) Manager At the end of the semester, we prepared what to do.

1. Grade-up-> Modify student account information


1-1) Divide student data into multiple accounts: Not recommended.

Example)
Grade1: 2020@domain.ph
Grade2: 2021@domain.ph

Each of the two accounts is an independent account that has no relation, and another account is created and distributed to students for Grade up. In other words, students leave the account they used in 2020 and issue a new account to spend 2021.


It may be the simplest and most convenient way for a manager. However, the previous year data will remain in another account, and three (or six) years of data will be stored in different accounts.


*It's simple for managers, but in a big context, it's not recommended.


1-2) keep student data in one account

This is a way to keep the school account that students were originally assigned to and update the rest of their enrollment.

#1. Students change their own profile (student number):

Administrator difficulty level= 'Low'


Change the student ID in the student's profile, keeping the ID issued during the enrollment year

When registering a user, if you enter the student number in 'Last Name' and the student's name in 'First Name',

You can check the student as 2021 James on Google Classroom.


1) If there is a person with the same name in the same grade
2) When the entire grade is managed in one class


This is a useful grade-up method given these settings.



Unlike @gmail.com accounts, users can edit their personal profile (name) at any time,

(Google first page-upper-right profile picture-Google Account Management-Personal Information-Name)

In the GWFE environment, you can set it to prevent users from modifying their profile.

Schools can induce students to correct their own student number by setting 'school registration correction period' before and after promotion.

Students will not be able to change their student ID or name by themselves if you uncheck 'Name' in Profile Edit after the correction period ends.

* Required settings in the management console: Management console - Directory -
Directory setting - Profile modification (applicable to organizational unit)




*Expected Disadvantage: It can be difficult to create a group in a new school year. (ID has no rules for class/number)


#2. Alias ​​registration: Administrator difficulty: 'Medium'

How to keep the ID issued in the year of enrollment and register 'Aliase' as the student's student number for this year
 

In Gmail and GWFE, you can register 'alias' in addition to the user's basic ID.

 
You must log in with the ID that was initially given, but you can receive emails, classroom invitations, invitations to group creation, etc. by 'alias'. 
-The shortcomings in #1 can be compensated.


However, it can be a bit difficult when registering aliases in large units.


This can be done simply using a spreadsheet add-on called Ok Goldy.

* Advantages:

Student: Log in with the ID you used to log in. Existing data is preserved in the account.


Teacher: Class management can be operated with a registered alias 

-> E-mail, Classroom registration, etc.



*Considerable points:


It is necessary to match the old student number with the new student number.



#3 Email address change: Administrator difficulty-'high'

Change the existing email address, but preserve the data

According to the official manual provided by Google,
there are ways to edit your account.

The fatal problem with this method is that there can be many errors when registering users in large quantities.


For administrators who don't really understand the GWFE admin console due to the variety of options they don't know what, this can be an easy way to give up.
 

But

 
It is recommended in that the existing data is preserved and the ID can be modified with a new student ID.

 

However, since it is a method of modifying the source data, it can be a fatal drawback that it is impossible to predict how much catastrophe will occur when an error occurs in the correction process.






* The most recommended method is to edit #1 profile and register #2 alias at the same time.



2. Graduate data management

GWFE's basic policy stipulates that upon graduation, a student deletes his/her account and transfers the data to an individual's account or Google Workspace in an organization other than the current school.

Just because students don't delete their accounts as soon as they graduate, doesn't mean there's a way Google can impose sanctions.

In principle, the account is deleted, but if you are concerned that students may find data and contact you...

You can use the 'stop' function that preserves data but prevents login.

* Note that students' data must be deleted someday.


Account suspensions can be executed individually or on a large scale, but with Ok Goldy you can solve hundreds of suspensions in one click. (The basic function of the management console can only be operated in units of up to 50 people)
